She wants to set up a tasting bar in your company cafeteria to test Bruno's Deli’s new menu options. All the food would be free, but employees would have to fill out feedback forms for the items they taste.  You want to support Farah’s plans for expansion, but there are a variety of factors in play. Your company only has a small lunch room, and employees usually bring their own food, go out for lunch, or order delivery. Everyone has very tight deadlines, so you can’t be sure they would take the free food if they had to spend time filling out feedback forms. You’re also worried that some of the menu items contain foods with common allergens or strong smells and may not even be food people would want to try. You want to avoid possibly irritating your co-workers with extra work to do. It would also be awkward to ask your boss to do this favor for Bruno's Deli, given they mentioned how much they don’t like their food after a recent meeting. Normally you would call Farah to discuss her request, but because she emailed you at work with a formal proposal, you decide to email her back with a careful response to keep things professional.    Audience Farah has a deep personal investment in her business, which she took over when her father, Bruno, retired. Farah has also expressed appreciation for you treating her like a valued client and not just any business partner in the past, so you want this email to sound like it’s coming from you, not an impersonal or automated response.   Task Write an email that uses the negative news guidelines and retains good relations with Farah and Bruno's Deli but declines this request. Use one or two of the above reasons that make sense for your audience and situation and expand with details/commentary. For the sake of relationship building, be sure to end with a goodwill close. You may add relevant details to help make your email authentic so long as they don’t contradict the case context.   You may also use details from the prompt in your message but must use your own words rather than merely repeating the language above.     Option 2: Email Case Study: Offer Condolences & Request Information While best practices recommend that we avoid placing work requests in the same email as condolences, at times it’s unavoidable. In pressing situations, you may need to request information while acknowledging a loss.    Situation Your immediate supervisor, Deniz, a mid-career professional, recently lost their beloved dog, Sage, to a sudden illness, and they are very upset. Not only was Sage a valued pet, he was also a certified therapy dog Deniz took to the local elementary school as part of the Reading Rover program for students. One of Deniz’s office bookshelves displays pictures of Sage with his biggest fans. Deniz had Sage euthanized on Thursday morning and emailed your team to say they were taking a personal day on Friday. One of your co-workers, Makayla, is circulating a card to send from the entire department; however, you need to contact Deniz immediately because you are in the middle of an important project, an analysis of current sustainability initiatives’ success and new recommendations. You and Deniz have a high-stakes meeting to present the project to several key executives on Tuesday.  Before you knew Deniz was taking a personal day, you had planned to stop by their office on Friday morning to check in about the presentation the two of you will be delivering. You’ve completed your section of the PowerPoint about the successes but are unable to perform the advanced data analysis that Deniz has been doing for the recommendations. Deniz doesn’t know how much work you’ve completed, and you don’t know how much the two of you will need to do to finalize the presentation.  It’s Thursday afternoon, and Deniz has not returned to the office. They are signed out of your usual Teams chat, but you know they usually check their email at regular intervals.    Audience This is the first time you’ve collaborated extensively with Deniz and you don’t have a close relationship yet. Deniz has responded to other employees’ losses compassionately while maintaining an appropriate professional relationship. You want to do the same.    Task  Email Deniz to let them know you sympathize with their loss and politely inquire about how they want to prepare for the meeting.
